Commercial AV Managed Services

24/7 proactive monitoring, preventive maintenance, remote and on-site support for commercial AV systems — so your team isn't the help desk.

Installation is the first day of a 10-year relationship with your AV system. Firmware updates, failed displays, drifting calibration, updated UC certifications, and tomorrow's codec vulnerability are all going to happen. Managed AV services put a team between your users and the system — remote monitoring catches problems before users notice, preventive maintenance prevents failures, and our NOC handles the platform-vendor tickets so your IT team doesn't have to become AV experts.

Engineering Approach

How we design these systems

24/7 proactive monitoring

Our NOC uses Crestron XiO Cloud, Extron GVE, QSYS/QSC Reflect Enterprise, Zoom Device Management, Teams Rooms Pro, Cisco Control Hub, and custom SNMP/API integrations to monitor every connected device continuously. Alerts fire on signal loss, firmware drift, display temperature warnings, and connectivity issues. Most problems get resolved remotely before users file a ticket.

Preventive maintenance

Quarterly or monthly PM visits include display calibration, projector lamp (or laser) inspection, microphone cleaning and replacement, filter cleaning, cable integrity check, firmware update review, and documentation update. PM catches degrading components before they fail.

Remote help desk

Users call or email a dedicated phone number. First-response engineers troubleshoot live — screen share, remote control to room devices, reset codecs, rebuild calibration. 80%+ of tickets resolved remotely in under 20 minutes.

On-site dispatch and SLAs

When remote can't fix it, we dispatch a field engineer. Standard SLAs are 4-hour response for major incidents and 24-hour for standard. Premium plans get 1-hour response. We maintain spares depots in major metros to support SLA.

Platform vendor liaison

Manufacturer RMAs, Microsoft Teams Rooms Pro issues, Zoom enterprise tickets, Cisco TAC cases — we own the vendor relationship on your behalf. Your IT team stops spending hours on the phone with support lines.

Lifecycle planning and budget forecasting

Every system has a realistic replacement horizon. We deliver annual lifecycle reports showing what needs replacement in years 3, 5, and 7, with budget estimates. No surprise $400,000 replacement requests at fiscal year-end.

Questions

Frequently asked

What does a managed service contract actually cover?

+

At minimum: remote monitoring, quarterly PM visits, help desk support during business hours, and consumables (lamps, filters, basic cables). Full service adds 24/7 monitoring, faster SLA, firmware update management, vendor liaison, lifecycle reporting, and on-site dispatch.

How is this different from a warranty?

+

Warranty covers defective equipment for a fixed term. Managed services cover operation — reactive repair plus proactive maintenance, user support, platform updates, and ongoing engineering. The two stack: a 3-year manufacturer warranty plus a managed services contract.

Can you take over systems we didn't install?

+

Yes, and we often do. First step is a site audit — we document the system, verify drawings, check current firmware, and identify any immediate risks. Once we're confident we can support it, we transition it under contract.

Do you have a 24/7 NOC or is it just business hours?

+

Real 24/7/365 NOC, staffed by US-based engineers. Not a voicemail tree.

What happens when a piece of equipment dies?

+

Depends on contract tier. Basic: we order replacement through manufacturer, install on next PM visit (~2-4 weeks). Premium: spare pulled from our depot, dispatched within SLA window. Enterprise: spare kept on-site at your location, swapped immediately.

Do contracts auto-renew and escalate?

+

Our contracts are annual with opt-in renewal. Escalations are capped at CPI. No auto-renewal without notification.
